The Teams vs Outlook work philosophy

Teams and Outlook 2 communication and sharing tools with a different scope

  • Understand the difference between a transmitted and interactive communication and depending on the situation know how to properly use Teams and / or Outlook

The difference between the 2 main parts of Teams

  • The one used to Communicate (formerly called Skype or Skype for Business)
  • The one used to Collaborate (Work in “teams” / “teams”)

This To know when to use one or the other effectively and appropriately

The Communication with Teams component

The 2 types of communications in teams

  • Informal communication (request for quick information)
    • Make a call to one or more people in Audio and Visio
    • Exchange text messages (Chat – Conversation)
  • Formal communication by sending an invitation to participate in a “virtual meeting”
    • From Teams or Outlook (Calendar)

The teams communication console

During virtual meetings

  • View the list of other participants
  • Chat (written conversation)
  • Raise your hand to ask questions
  • Display or not the camera image
  • Turn on/Mute
  • Share my screen
  • Leave call / Join call (meeting)

Find all the info

  • Meeting invitation links to join them on time
  • What happened in my absence (Activities)
  • Find old conversations and relaunch new topics (Chat – Instant Meeting / Scheduled)

The collaboration component with Teams

Let’s review some SMART notions about project management

Collaborate with others in my organization

  • Establish a structured action plan
    • Build a new project team
    • Assign to this project the list of people who need to intervene
    • Assign a role to my project team members (member/owner)
    • Structuring this team into channels
    • Tabbed channels
  • Once the structure is completed, communicate effectively
    • With 1 or more people
    • Send a message to the channel
    • Organize work meetings
      • Informal communication (instantaneous)
      • Formal communication (via invitation)
    • Collaborate around the same document (Word, Excel, PowerPoint, OneNote)

Collaborate with people outside my organization

Some Teams options are not available to them for various reasons that you will not be able to control such as

  • The fact that they use a Mac/Linux…
  • That they use a WebApps version of Teams and not the desktop app
  • That their Teams account is set up incorrectly
  • That he doesn’t know how to set up Teams Effectively
